Resource Planner using MCS-RM Web

Overview

MCS-RM has a resource planning tool available from the RM menu. It was created to provide the ability to allocated a resource to a task.  The RM based resource planner help article is available at the following link:  Resource Planning

MCS are now extending the usage of this tool and moving it to the RM-Web platform. This has a number of advantages including being accessed from a mobile device or browser, extending the usage to include the management of the transport and workshop tasks over a number of releases.

From version 2018.4.1 the web based resource planner can deal with regular tasks, deliveries and (in beta) workshop jobs where the transport management module is cloud based. There is a specific article explaining how the Web based resource planning tool is used with the transport management applications.

A planning chart is used to enable the allocation of tasks to available resources.  To further enhance this functionality, it is also possible to assign specific skills or qualifications required to perform a task so ensuring that the appropriate resource is allocated to that task using the resource management functions. These scheduled tasks can be uploaded to the Transport Manager Mobile program (cloud) 

This module is available by license and an additional licence to enable the activation of resource management.


Configuration

There are a number of configuration steps that must be completed in MCSrm in order to configure tasks, resources and enable the Drivers to have their jobs and routes uploaded to their mobile device.

Resources

Resource Maintenance is available to enable the creation and maintenance of resources within the business, e.g workshop technicians, operated plant personnel, employees, contractors, vehicles.  Licenses are not required to create resources

The options to add or edit resources is located within Maintain > General > Resources. 

When adding a new resource, a drop down is available to categorise the type of resource to be created.  These are 'Person', 'Technician', 'Vehicle' and 'Miscellaneous'.  The option selected then determines what fields are then displayed for input, i.e. if 'Technician' selected, then the fields include the labour category and labour rate as these are used within the workshop module.  Any of the categories could be utilised within the resource planning module.  If the drop down is not selected when adding a new record, the default resource type is 'Person'.

General Tab

Enter the required details of the resource.  

If this resource is utilised within the operated contract and timesheet functionality, then the tick box 'Operator' should be ticked.  

By using a foreground and background colouring, this can further assist with the categorisation of particular resources when planning and assigning resources to tasks.



Specifications Tab

1.  Specifications may be added to the resource - this could include copies of qualification certificates, identification details.  The specification items are set up within the 'Maintain > Equipment > Specification / Checklist items' form. 

Transport Manager

If the resource is going to download their tasks to the TMA Mobile app they should be set up with a login in the 'Transport Manager' tab.

If the resource is to be used the Use in Transport Manager must be selected.

The Driving licence number may optionally be entered.

The Username and Password must be typed in here. This will be required by the driver to log in on the Mobile application in order to view and complete tasks assigned to them.



Qualifications Tab

If the 'Resource Management' module is licensed then qualifications may be assigned to the resource.  The 'Expiry Date' will warn the operator when a task that requires this qualification is allocated to a resource where it has expired.  The 'Reminder Date' may be used for reporting purposes to ensure that re-certification and updates are obtained in a timely manner.


Tasks

Task Maintenance enables tasks to be set up that may apply to either contracts and / or works orders.  These may represent particular stages of a contract that may need resources to be available, such as a site inspection or transportation of equipment to the site, or for repairs, safety checks may be requires, which may need a resource with specific skills or qualifications to be available. 

Task Maintenance is located within 'Maintain > General > Tasks'.

When Transport Manager is in use and a task is a Transport Manager task a Transport Manager Job Type must be assigned to the task. 

When creating a task, a default duration days and time may be set, which represents the 'normal' amount of time required to carry out this task, so enabling more accurate and precise planning of the resource for the task.  This will default within contracts and works orders when the task is added.  

Match Resource's Depot - (Yes No Warn) - If the task can only be assigned to a resource from the same depot. If a resource does not have an assigned depot then tasks can be assigned even when this is set to Yes.

Ad hoc tasks may be created by leaving the 'Applies to Contracts' and 'Applies to Works Orders' check boxes un-ticked.  These could be used to block out holiday or unavailable days within the resource planner.

Other Task Settings

Applies to Works Orders - This setting controls if the task is available to be added to a works order.

Applies to Contracts
 - This setting controls if the task is available to be added to a contract.

Works Order Type - This controls the link between the task and associated Works Order Job Type and is used where the Workshop Mobile is in use. If the selected works order type is used, the linked task(s) is/are created automatically.

Internal Use only - This setting controls if the task will trigger a Works Order being submitted to JobWatch. Setting the check box will stop a JobWatch task being raised in the Works order.

Applies to IDT's - If a task applies to Interdepot transfers - This will be implemented in version 2019.1

Multiply Duration by Works Order Quantity - If a task applies to Works orders then this field will be active. When multiple items are on a Works Order then the duration will be multiplied by the quantity.

Default Start Times as Midnight - From version 4.13 there is a new setting that can change the default time to midnight rather than take the contract or works order date as the default.  See the Article AA-01551 for more detailed explanation.

Inactive - Inactive tasks will not be able to be selected. Additionally Unassigned tasks will not be shown in RM-Web Resource Planner

Lock Task to date/term specified when dragging onto a resource - If this is set, when the task is assigned to a resource it will be automatically set to the time defined on the task. Times cannot be changed on locked tasks in Resource Planner.

 

Qualifications Tab

If the 'Resource Management' module is licensed, then qualifications or specific skills may be applied to the task.  When planning the resource for this task, the system will verify if the resource selected has the qualification or skill set required to carry out that task.


Equipment

If the 'Resource Planning'  module is licensed a 'Tasks' tab is available on the Equipment form.  Any active task may be attached to an item and a quantity may also be entered.  When the item is added to a contract then any tasks attached to that item are automatically added to the contract too.  The task quantity for the item determines how many times the task is added to a contract.  This is to allow several people or resources to be allocated to an item task.

Contracts

When the 'Resource Planning' module is licensed, a 'Tasks' tab is available, which will enable the tasks applicable to the contract to be added.  If an item added to a contract has tasks attached to it then these tasks are automatically added to the contract too, the item task quantity determines how many times a task is added to the contract.  These tasks are then linked to the item contract line.  If the contract line is deleted then the tasks associated with that contract line are removed too.     

 

Tasks that are applicable to the contract form are displayed when clicking the dropdown.  The Start Date defaults at the contract header 'Start Date'.  When the task is added, the duration of the task is populated and the End Date is then set using this and the start date.  The operator may then adjust the start date and duration of the task according to the requirement.  The resource can be assigned at this point if known, otherwise leave this blank to be planned later.  Notes may be added and these are displayed within the 'Resource Planner' form.

There is an equipment button on the planner. By default all items are selected. There is a tickbox which can be unticked and individual items can be selected. This can be used to assign different equipment to different resources to split items for multiple deliveries\collections or to show that a task will only apply to a single item. Comments will be excluded and will not be added to the task.


Works Orders

If the 'Resource Planning'  module is licensed a 'Tasks' tab is available on the works order form.  Tasks that are applicable to works orders may be added.



When adding a task the 'Start Date' defaults at the 'Date In' from the works order header.  The same fields are amendable as in the contract form. The Equipment button is visible as with the contract but it is not amendable within the contract as the task will apply to the work order item.


RM Web Resource planner

The Resource Planner is accessed from the RM-Web via the Dashboard or via the tools menu.

 

This will open the resource planner.


1) Filters - Filters can be created and amended by clicking on the filters option. These will restrict the tasks and resources which will be displayed on the screen

2) Task Depots - Task Depots can be selected or all depots can be viewed which will amend the view of the Unallocated tasks underneath

3) Resource Depots - The Resource Depots can be seen and selected. These can be linked or unlinked from the task depots by using the Use task depots for resource depots. When this is selected changes to the Task Depots will automatically be reflected in the Resource Depots.

4) Unallocated Tasks The Unallocated tasks are listed on the left of the screen. Any overdue tasks will always be displayed. When a task is overdue the red clock symbol will be shown. 

5) Resources - Resources will be listed vertically. When a resource has been assigned to routes there will be a + beside the resource to expand the resource and view the routes.

6) Filter Sets - Predefined filter sets can be created and then selected by using the Filter Set list.

7) Full Screen - The Resource Planner can be set to full screen 

8) Refresh - the resource planner can be refreshed which will reload the page and show any changes that have been made in MCSrm.

9) Date Control arrows. The current date is the default date, and will be shown when opening the resource planner. The page can be advances one day at a time by clicking on the back or forward arrows, and a specific date can be selected by clicking on the date next to the Filter Set and selecting a calendar date. 

 

Unallocated Tasks can be dragged and dropped onto a resource. Tasks and Resources may be Transport Manager tasks, in which case the tasks will be able to be uploaded to the TMA mobile solution. 

Transport Manager tasks can be allocated to transport manager resources however they cannot be allocated to a non transport manager task.

Non transport manager tasks can be allocated to both transport manager and non transport manager tasks but they will not be uploaded to the TMA. Double clicking on the task will open a detailed view of the task and allow the Contract or Works order to be opened in RM-Web or MCSrm.

Non Transport Manager tasks will be displayed next to the driver name.

If there is only one transport manager route the route details will be shown.

When there is a mixture of Transport Manager tasks or multiple routes a summary will be shown beside the Resource name, and there will be a plus beside the resource name.

When a transport manager task is dragged onto a transport manager resource a route will automatically be created.

Routes can also be created by right clicking on a transport manager resource.
